Assigning roles to people

You can assign roles in two ways: from a person's Properties, and from the role's entry in the Resources tree. Only users with Maximum permission level for persons (such as Super Users) can assign roles.      

Using the Properties sheet is practical for assigning one or more role to a single person, and is the only way you can edit en existing role. Using the role's Resources tree entry is practical if you need to assign same role to a number of persons.    

To assign a role from a person's Properties

  1. Go to the Roles tab.

  2. Click Add. This opens the Entity Role widow.

  3. If your have permissions for assigning roles in more than one entity, select the relevant entity from the pull-down list.

  4. Select the relevant role from Role pull-down list.

  5. If you wish to record additional information about this particular person's role, type this in the Specification field.

  6. Click OK.

To assign a role to multiple persons

  1. Add the relevant persons to you Selection. See About search and Search results for more information.

  2. Locate the role in the entity's People folder in the Resources tree.

  3. Right click the role name, and choose Assign Role to > Selection.

  4. If you wish to record additional information about these persons' roles, type this in the Specification field.

  5. Click OK. The role is assigned to all the selected persons, with the exception of any who already had the role.

  6. Click Close.

Removing roles

A person must have a least one role, so you will get an error message if you try to remove the last role a person has.   

To remove a role from a person's Properties

  1. Go to the Roles tab.

  2. Click the role, and then click Delete.

  3. Click OK to confirm.

To remove a role from a person using the resources tree

  1. Locate the role in the entity's People folder in the Resources tree.

  2. Right click the role name, and choose Remove Role From.

  3. Select the person from the pull-down list

  4. Click Remove.
